PRIVACY POLICY
Effective date: May 4, 2026 · Last updated: May 4, 2026
AI Explorers (“AI Explorers,” “we,” “us”) is an independent ed-tech program. This Privacy Policy explains what information we collect when you use aiexplorers.academy (the “Service”), how we use it, and the choices you have. AI Explorers is not affiliated with OC Music & Dance; OC Music & Dance is a customer that licenses AI Explorers for in-person delivery and does not operate the Service. If you have questions, email support@aiexplorers.academy.
1. WHO THIS POLICY COVERS
The Service is intended to be purchased and managed by a parent or legal guardian on behalf of one or more students. Adults create the parent account; students access the lessons via a personal login code. Different sections below describe how each group's information is handled.
2. INFORMATION WE COLLECT
From parents and account holders
- Name and email address (provided when you create an account)
- Billing information processed by our payment provider (we do not store full card details)
- Plan, purchase history, and the names of students you enroll
- Customer-support correspondence
From students
We collect only what is needed to issue and operate the student's login code:
- First name (last name is optional and parent-provided)
- Login code, lesson progress, quiz attempts, and approximate time spent
We do not ask students for last name, date of birth, address, phone number, school, photograph, or contact information. We do not allow students to upload free-form content. See our Children's Privacy Notice for additional disclosures about users under 13.
Automatically
- Standard server logs (IP address, browser type, pages requested, timestamps) used for security and reliability
- Cookies and similar technologies set by us and our service providers (Clerk for authentication, Supabase for app state) to keep you signed in and to remember preferences
3. HOW WE USE INFORMATION
- Provide, operate, and improve the Service
- Process purchases and issue receipts
- Generate and email student login codes to the parent
- Track lesson progress so the parent and student can see their dashboards
- Communicate with parents about their account, support requests, and program updates
- Detect, prevent, and address technical issues, abuse, or fraud
- Comply with legal obligations
We do not sell or rent personal information. We do not use children's information for advertising and we do not allow third parties to do so on our Service.
4. SERVICE PROVIDERS WE SHARE WITH
We share the minimum information necessary with vendors who help us run the Service. Each is bound by contract to use that information only on our instructions:
- Stripe — payment processing
- Clerk — parent and admin authentication
- Supabase — database and file storage
- Resend — transactional email delivery (login codes, receipts, support)
- Netlify — application hosting and edge delivery
We may also disclose information when required by law, to protect rights and safety, or in connection with a business transfer (with appropriate confidentiality protections).
Customers and clients of AI Explorers
Some institutions (such as OC Music & Dance) license AI Explorers to deliver the program in person. When AI Explorers is delivered through one of those clients, the client may collect additional information directly from you (for example, paper registration forms, in-person attendance records, on-site photos, or local emergency contacts) under its own privacy policy. AI Explorers is not responsible for information collected by clients outside of aiexplorers.academy; questions about such collection should be directed to the client.
5. THIRD-PARTY AI TOOLS YOU INTERACT WITH OUTSIDE THE SERVICE
Our lessons reference and discuss third-party AI tools made by other companies — for example, OpenAI (ChatGPT), Anthropic (Claude), Google (Gemini), Microsoft (Copilot), Midjourney, ElevenLabs, and others. AI Explorers does not embed, host, or proxy these tools inside our Service. If a student or parent chooses to visit one of those tools, type into it, or upload anything to it, that interaction takes place on the third party's own platform and is governed entirely by that company's privacy policy and terms of service — not by this Privacy Policy.
AI Explorers does not see, receive, store, or have access to anything the student types into a third-party AI tool, anything those tools generate in response, or any account the student creates with those companies. If you want to know what a third party collects, how it uses information from minors, or how to delete data, you must contact that company directly using the contact information in its own privacy policy.
For these reasons, before allowing a student to use any third-party AI tool referenced in our lessons, we strongly encourage parents to (a) review that tool's privacy policy and age requirements, and (b) decide whether the tool is appropriate for their student. AI Explorers is not responsible for information collected, used, or disclosed by any third-party AI tool.
6. DATA RETENTION
We keep account, payment, and progress information for as long as the parent maintains an active account, plus a reasonable period afterward to satisfy tax, audit, fraud-prevention, and legal requirements. Student progress can be reset at any time from the student's own progress page. Parents can request deletion of an entire student record by emailing us.
7. SECURITY
We use industry-standard administrative, technical, and physical safeguards (TLS in transit, encryption at rest with our database provider, role-based access, audit logs for admin actions). No system is perfectly secure; if we ever experience a breach affecting your information, we will notify you in accordance with applicable law.
8. YOUR RIGHTS
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, or to object to or restrict certain processing. You can exercise these rights by emailing support@aiexplorers.academy from the address on your account.
How we verify a request
To protect a parent's and student's information from unauthorized access, we verify your identity before completing any data-access, deletion, correction, or portability request. Typically, we do this by:
- Confirming the request was sent from the email address on file for the account.
- Sending a one-time confirmation link to the parent email address on the account; you click the link to confirm the request.
- For higher-risk requests (for example, deletion of a paying account or a student record), asking you to verify a recent purchase or other detail only the account holder would know.
We will not delete a paying account on the strength of a phone call alone. If we cannot reasonably verify a request, we will tell you and may decline it. We respond to verified requests within the timeframe required by applicable law.
California residents
If you are a California resident, the California Consumer Privacy Act (as amended by the California Privacy Rights Act) provides additional rights, including the right to know what personal information we collect and disclose, the right to delete, the right to correct, the right to limit use of sensitive personal information, and the right to opt out of any “selling” or “sharing.” We do not sell or share personal information for cross-context behavioral advertising. To submit a request, email us at the address above.
What “sensitive personal information” means here
The CCPA defines “sensitive personal information” to include things like government IDs, financial account credentials, precise geolocation, racial or ethnic origin, religion, union membership, contents of mail/email/text messages, genetic data, biometric information, health information, and account login credentials in combination with the password or security question/answer needed to access an account. The only category in that list that is relevant to AI Explorers is the last one: a parent's account login is handled by our authentication provider Clerk and is used only to sign you in and run the Service. We do not use that login information for marketing, advertising, profiling, or any purpose beyond providing the Service.
We do not collect government IDs, precise geolocation, biometric data, genetic data, health information, racial/ethnic/religious data, union membership data, or the contents of communications. We do not ask students for any of those categories at all.
Because we do not use sensitive personal information for any purpose beyond the limited provision of the Service, the CCPA “right to limit use of sensitive personal information” does not change our practices today. We'll honor any such request you submit anyway and confirm the limitation in writing.
9. COOKIES AND DO NOT TRACK
We use cookies for authentication and basic site functionality. We do not use third-party advertising cookies. Browsers offer settings to manage cookies; the Service may not function fully if cookies are disabled. We currently do not respond to “Do Not Track” signals because no industry-standard interpretation exists.
10. CHILDREN UNDER 13
Some students may be under 13. We comply with the U.S. Children's Online Privacy Protection Act (COPPA) and obtain verifiable parental consent through the parent's paid sign-up before any student data is collected. See our Children's Privacy Notice for full details, including how parents can review or delete a student's information.
11. CHANGES TO THIS POLICY
We may update this policy from time to time. The “Effective date” at the top will reflect the latest version. For material changes, we will notify parents by email.
